Standard Summer Term Program Entry Sidebars

Standard Sidebars for Each Program Application:

Each program has a set of custom metaboxes/sidebars that allow program managers to assess and update individual program applications. These sidebars are managed in each form’s settings tab. All sidebar elements correspond to form fields in either the primary application form or supporting forms (materials uploads, recommendations, etc.)

These sidebars will need to be set up each summer. Use the following link for details on how to create and managing program sidebars.

Academic Immersion Program (AIM) Sidebars:

Status and Decision – the included elements are different for each program
Document Management – The list of documents is automatically generated and based on the documents in the Supplemental Materials Upload form for each program.
Custom Notifications – The listed notifications are based on the notifications created and activated for each program.
Participation Details – This content is generated by the content of the Participation Agreement form for applicable programs and includes the Program Deposit payment status.
Payment Status – This refers to the Program Application Fee – distinct from the Program Deposit payment status. Gravity Forms automatically adds a non-editable payment details box however, we also add an editable metabox for case where the program manager can enter payment data if the student pays over the phone or by check.
Admin Tracking – This includes a list of form admin fields that allow a program manager to track the various steps required for application assessment and approval.

Additional Notes – text area for miscellaneous notes.
Finalize Seminar Assignments – This is generated by the function meta_box_bu_sc_seminar_assignments ( $args). This function depends on the ‘Assigned Session . . .’ menus in the Summer Challenge form. There will be one menu for each session (eg. Assigned Session One Morning, Assigned Session One Afternoon, etc.). The number of sessions will change from year to year but the Menu Label must contain the string ‘Assigned Session’ for the function to work properly.The menus themselves can/should be maintained by the client. There is a helper function: function st_add_seminar_choices( $choices ) which is called by by adding the Gravity Forms ‘gform_predefined_choices’ filter: add_filter( 'gform_predefined_choices', 'st_add_seminar_choices' ) and pre-loads custom menu choices.
Seminar Counts – This is linked to custom code that counts the number of applicants approved for each offered seminar. The counted seminars are based on the content of the ‘Assigned Session’ menus and counts the number of Finalized Seminar Assignments for each Seminar/Session listed.
